Reports

Run built-in reports, build your own with any filters and grouping, print a calendar, save and share reports, export them, and have them emailed on a schedule.

Reports answers questions about your business — how much did we collect this year, what service charges do we owe staff this month, which events still have a balance. Everything is a report you can run, change, save and re-run.

Open Reports in the sidebar. The Reports tab is your library; the Overview tab is the at-a-glance dashboard of revenue, lead conversion, venue use and workload.

The library

Reports are grouped into three sections:

SectionWhat's in it
My reportsReports you built and saved. Only you see them (unless you share them).
Shared with the teamReports a teammate chose to share.
Built-in reportsReports that come with VenueDB, sorted into folders: Calendar & schedule, Money, Staff & service charges, Events, Leads & clients and Documents & tasks.

Use the search box and the data-type chips to find one. Every report card shows who made it. Your own reports can be filed in folders you name.

Open any report to run it. Built-in reports can't be edited, but Save a copy gives you your own version to change.

Building a report

Choose New report, or open a built-in one and tweak it. Pick:

  • Report on — what each row is. Events, Calendar entries (one row per function), Service charges & fees, Leads, Clients, Accounts, Quotes, Contracts, Invoices, Payments, Tasks or BEOs.
  • Date range — Today, This week, This month, Last month, Next 30 days, Last 30 / 90 days, This quarter, This year, Last year, Next year, or a custom range. Where it makes sense you also choose which date (for example event date vs. date created). Presets like "last month" move with the calendar, so a saved report never goes stale.
  • Filters — as many as you like. Text fields match "contains / is / is not"; numbers and money use "equals / more than / less than / between"; dates use "before / after / between"; choices (status, venue, space, source…) use "is any of / is none of"; yes/no fields use "is".
  • Columns — tick which to show and move them up or down.
  • Group by — instead of listing every record, get one row per group (per status, venue, source, space, assignee…) with a count and totals of every number and money column. Group by a date to get one row per day, month, quarter or year.
  • Sort by — any sortable column, either direction.

Press Run report. You get a table with the record count and a Total row. Grouped reports can switch between Table and Chart — a line when grouped by date, bars otherwise — and you pick which total to plot.

Saving, sharing and folders

  • Save report names it and stores it for you. Add a short description and, if you like, a folder.
  • Each saved report shows Created by and, once changed, Last updated by, with dates.
  • Share with the team makes it visible to everyone (Admin or Owner).
  • You can change or delete your own reports; Admins can change anyone's.

Printing and exporting

Every report has a Print button that opens a clean page ready for paper or Save as PDF.

Export offers:

  • Download CSV now — the rows on screen, instantly.
  • CSV or PDF in the background — runs the whole report and puts the finished file on your dashboard (see Background jobs and connections).
  • CSV or PDF by email — the same, sent to your address.

Printable calendar

For a real calendar on paper, open Reports → Printable calendar (or Print this calendar in the Events filters). It lays out a month or week like a wall calendar.

  • Choose the venue, which spaces and which event statuses to include.
  • Choose what appears on each entry: time, space, client, guest count, status.
  • Optionally include holds and connected calendars (for example a partner church's feed).
  • Landscape or portrait, weekends on or off, and color by status.

Print calendar opens a clean page; choose Save as PDF there to keep a copy.

Emailing a report on a schedule

Open a report and choose Email on a schedule. Pick daily, weekly or monthly (monthly can be a day of the month or the last day of the month), a time, and who receives it. Each send runs the report fresh and arrives as a table with the full result attached as a CSV.

Manage every schedule in Settings → Automations → Scheduled reports: edit the timing or recipients, Send now as a test, pause, or delete. If a send fails you'll see why there, and in the dashboard's Connections tab.

Recipes

Year-end revenue — open Revenue collected by month — this year (or last year). Each row is a month; the Total row is your January-to-December figure. Switch to Chart to see the shape of the year.

Month-end service charges for staff — open Service charges & fees — last month. Each row is a fee on an event (service charge, damage waiver…), with what it was charged on. The Total row is what to square up. Schedule it for the last day of each month.

Sales tax for filing — Sales tax collected by month — this year.

Who owes us money — Events with a balance due or Outstanding invoices.

What's on this week — This week's calendar, or print it from Printable calendar.

About "Service charges & fees"

This source works out each event's charges from your current pricing setup (see Pricing, fees and taxes): one row per event, revenue category and fee, plus a Sales tax row where tax applies. Because it is recalculated, changing a fee's rate changes past events too. It covers up to 600 events per run — narrow the date range for more. Add a status filter to leave canceled events out.
